5 tips from Alexa Schirtzinger for better video calls.

In recent weeks, in different parts of the world and across Latin America, working from home has become a new reality for many. In response, Google is offering free access to its advanced Hangouts Meet video conferencing capabilities to all G Suite customers worldwide until July 1, 2020. Here are some tips from the Head of G Suite Product Marketing on how to run more productive video calls.

In the life of a working mom or dad, flexibility is key. And in the life of a working mother who sometimes works from home, technology is the reason I can be flexible. Sometimes my child gets sick, or I need a plumber to come fix the toilet. I’m fortunate to have a job that allows me to work remotely at a time when video conferencing is an accepted way to stay on top of daily meetings.

But video conferencing isn’t always easy. Kids climb on you, the dog barks, there’s background noise… you get the idea. I’ve had a few embarrassing moments and made plenty of mistakes, but I learned a few things along the way. Here are my tips for successful video conferencing from home.

Tip 1: Choose the right environment

When I want to discuss a complex topic or brainstorm ideas, video calls are more efficient than chat or email. They also help me get to know teammates in different time zones. But when you’re on a call, be mindful of what’s around you — including your background. Choose a plain wall and avoid windows that create too much backlighting. And if you’re using a laptop, place it on a stable surface.

I once joined a video call with my laptop on my lap, and afterward the other participant told me that the subtle screen movement had been very distracting.

Tip 2: Invite anyone, at any time

Video conferencing doesn’t always have to be scheduled; if you’re in the middle of an email conversation that’s going on too long, you can set up a meeting instantly and invite people inside or outside your organization to join. Hangouts Meet automatically creates international dial-in numbers so people can call in from anywhere. You can also invite participants through a Google Calendar event, by email, or by phone. When you join a call, be mindful of what’s around you, including your background.

Tip 3: Presenting? Only share what you want to share

Don’t you love that moment when you share your screen and suddenly everyone on the call is reading your email? To make sure you’re only sharing what you want to share, present just a single window instead of your entire screen. Take a look.

Tip 4: Change the screen layout

One of my favorite features in Meet is the ability to change the video call layout. If someone is presenting slides but there’s a lively discussion happening in the room, you can switch your layout to focus on the people in the room instead of the presentation. Learn how.

Tip 5: Be real

We all have a life outside of work. Depending on your workplace culture, it may be okay (and even good) to show a bit of the “real” life around you — like letting your child wave at the camera or eating lunch if you’ve been on back-to-back calls all day. Showing a glimpse of your life can foster deeper connections with your coworkers and even create empathy for whatever you may be dealing with outside of work.
